Printing and Supply of Diaries - 2003

Sealed quotations are invited from reputed printers and suppliers of diaries for printing and supply of Reserve Bank of India's diaries for 2003. The Reserve Bank supplies three types of diaries, viz. Regular, Appointment and Telephone Index diaries. Printers and Suppliers of diaries should have in the past 2-3 years successfully executed individual orders of supplying more than 20,000 diaries. The proforma and specifications as well as terms and conditions are furnished in Annexures I and II, respectively. These are also available in the office of the undersigned between 11.00 hrs to 16.00 hrs on any working day (Saturday 11.00 to 13.00 hrs) from 12th to 21st August 2002. The sealed quotations in two parts i.e. Part I, containing details of past performance / experience along with certificates and Part II containing the rates in separate sealed covers addressed to Shri G.K. Sharma, Chief General Manager-in-Charge, Department of Administration and Personnel Management, Reserve Bank of India, Central Office, Mumbai - 400 001 and superscripted 'Supply of Bank Diaries -2003' should reach him not later than 16.00 hrs. on 22nd August 2002. The Bank reserves the right to accept or reject any or all quotations without assigning any reasons.

Annexure - I

( 1 ) Regular Diaries – Quantity : 28000 Nos.

Specifications

  1. Total 28000 diaries in 9 ½ " x 7" size with pages printed in one matching colour on 80 gsm maplitho paper providing for :
  2. i) Three years’ calendars

    ii) Forward Planner 2003 - 4 pages

    iii) Monthly Planners

    iv) Date pages containing two dates on each page (layout to be approved).

    v) Twenty pages at the end of diary for writing Names, Addresses and Telephone Numbers with alphabetical index, Notes, Reminders and Forward Planners 2004.

    vi) 26 pages of general information pertaining to the Bank and other utility

    services printed in Hindi and English (material to be provided by the Bank) and thereafter neat, clean and clear proofs to be submitted till finally approved by the Bank.

    vii) 6 pages for Notes/Reminders and personal data.

  3. Four pages for printing maps and other material as may be decided by the Bank to be printed in 4 colours on 135 gsm good quality art paper. (Map of India should be the latest one which is approved by Central Government authorities).
  4. Eight end pages of 120 gsm maplitho paper with selected design printed on 4 pages in a matching pastel colour.
  5. Gilding on 3 sides of each diary.
  6. Kolbus Binding – Sections sewn and hard bound with good quality binding material.
  7. Good quality marking thread of matching colour properly fixed in each diary.
  8. Diary cover i.e. carton in duplex laminated board of superior quality material and colour with RBI’s name in Hindi and English, its emblem and year 2003 printed impressively in silver/gold foil as may be decided by the Bank.

( 2 ) Appointment Diaries – Quantity : 300 Nos. ( 9 1/2" x 7 ")

1. Specification as per sample diary (available for perusal with the department on any working day during 11.00 A.M. to 4.00 P.M. (Saturday 11.00 to 13.00 hrs.) from 12th August, 2002 to 21st August 2002 ) with quality marking thread of matching colour properly fixed in each diary.

3. Embossing of RBI logo on the cover and carton free of cost.

4. The names of Top Executives and some of the Senior Officers (numbering about 125) would be embossed on the top of the diary free of cost. The list of such officials will be furnished.

( 3 ) Telephone Index diaries – quantity : 9000 Nos.

Specifications

i) Size – 6" X 3." Telephone index and other matter to be printed as directed.

ii) 88 pages on 80 gsm natural shade paper with 300 gsm. good quality Art Card as cover with indexing and jacket material as approved by the Bank.

iii) Delivery after 20 days from the date of placing order, e.g. in Mumbai, Navi Mumbai and outstation centres.

Annexure - II

Terms and Conditions

i) Samples of each type of diary should be got approved before manufacturing.

ii) The quantity can be increased or reduced by 5 % for supply at the quoted rate.

iii) Diaries should be properly packed and delivered at various premises of the Bank in Mumbai and Navi Mumbai by 2nd December, 2002 as also at the various centres of the Bank in other States positively by 6th December, 2002 (7th & 8th being holiday/Sunday) as per the mailing instructions which will be made available in due course. However, penalty will be levied in case of deliveries after 6th December, 2002 and the cost per diary would be reduced as under :-

iv) Specified number of diaries will have to be delivered directly to various departments in Mumbai and Navi Mumbai at no extra cost (list will be furnished).

v) Delivery to outstation centres to be made directly as per Annexure III.

vi) No cost in respect of damaged/mutilated diaries will be reimbursed.

vii) The successful bidder will have to deposit Rs.50,000/- as security deposit to be refunded after completion of the supply order.

viii) The Bank will not make any advance payment. However, bills, if otherwise in order, would be paid promptly on receipt of confirmation from the Bank’s concerned offices/departments for having received specified number of diaries in good condition. Income-tax will be deducted at source (TDS) from final bills as per extant Income- tax rules.

ix) Any delay in adhering to the prescribed delivery schedule or failure to supply requisite number of diaries of agreed quality and specifications would entitle the Bank to cancel the order. In such an event, the Bank shall not be liable to pay any amount and the supplier shall not be entitled to recover from the Bank any amount by way of damages, loss or otherwise for such cancellation of the order but at the same time the Bank shall be entitled to recover the loss which it may incur on account of non-delivery or late delivery or on account of placing orders with other suppliers and recover from the supplier the difference between the price at which he has agreed to supply and the price at which the Bank is forced to place fresh orders.
